Airtable Automation Recipes for Notifications and Record Updates
Plan safe automations with clear triggers and tests.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Plan up to six automations for my Airtable base. Purpose and tables: [BASE_PURPOSE]. Manual steps people repeat: [REPEATED_STEPS]. Who should be notified of what: [NOTIFICATIONS]. Tools connected: [CONNECTED_TOOLS]. For each automation give a table row with Name, Trigger, Conditions, Actions, Who benefits, Risk (loops, duplicate emails, the wrong records changed) and Test case. Include one that updates a field when a status changes, one that sends a message when a record enters a view, and one that creates a linked record. Explain the order of runs and how to stop an automation from triggering itself. Describe how to test in a copy of the base with test records, and where to see run history and failures [VERIFY]. Note limits on my plan, such as run counts [VERIFY]. Give an owner for each automation and a monthly review. Do not recommend automations that send messages to customers without a human check. Prefer fewer, simpler automations and say which to build last.
