Collaborative Writing Workflow: Roles, Suggestions, Comments and Version Names
Set rules so co-authors do not overwrite each other.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Create a collaborative writing workflow in Google Docs. Document type and people involved: [DOCUMENT_AND_PEOPLE]. Deadline and review steps: [DEADLINE_AND_REVIEWS]. Problems we had before: [PAST_PROBLEMS]. Define roles (author, reviewer, approver), permission levels in plain terms, when to use suggesting mode and when to edit directly, a comment etiquette (assign actions, resolve when done, use @-mentions sparingly), named versions at milestones, a naming convention for the document and the folder, and a decision rule for conflicting edits. Provide a timeline working back from the deadline with the arithmetic of days for drafting, review and final edit. Include a checklist for the final pass (resolve all comments, accept or reject suggestions, check headings, check links, remove hidden text, share settings) and a short guide for contributors. Feature names and options differ by account type; mark them [VERIFY]. Add a worked timeline for a 12-day deadline: draft by day 4, first review days 5 to 7, revision days 8 to 9, approval day 10, final formatting day 11, buffer day 12, and a version-name pattern such as 'v0.3 2025-05-08 after review 1'.
