Shared Spreadsheet Access and Edit Risk Audit

Table output

Check who can view and edit a shared spreadsheet, spot over-broad access and fragile editing habits, and propose safer settings. Defensive only.

The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.

[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.

Please audit the sharing and editing arrangements for a spreadsheet that my team or organisation relies on. This is a defensive review of my own file: I want to reduce accidental damage and unintended exposure. Do not suggest ways to bypass any protections.

Inputs: the file's purpose and the kind of data inside (describe categories only, no real data) [FILE_PURPOSE_AND_DATA_TYPES], the list of people or groups with access and their level [ACCESS_LIST], how links are shared and whether anyone with a link can open it [LINK_SHARING], past incidents such as overwritten data [PAST_INCIDENTS], and whether version history is on [VERSION_HISTORY_STATUS].

Create: (1) an access table with columns Person or group, Level (view / comment / edit / owner), Needs it for, Needed level, Gap, Action; (2) counts of people who can edit versus people who need to edit, with the arithmetic and percent; (3) a risk register for accidental deletion, formula overwrite, sensitive data exposure, orphaned ownership if the owner leaves, copies emailed outside, with Likelihood and Impact each from 1 to 5, score and mitigation; (4) a safe design proposal: separate input and report tabs, protected formula areas, a single owner and a backup owner, and a copy-for-sharing approach; (5) a quarterly access review checklist.

Guardrails: do not paste real data. Describe features only with [VERIFY]. This is a general review, not a security assessment; for sensitive or regulated data, involve the organisation's IT or privacy contact. Do not change permissions yourself.

Add a worked example with invented numbers: 12 people can edit but only 4 need to. Show the 8 excess editors and 66.7 percent.
