Notion Workspace Structure and Clutter Audit

Table output

Find duplicate pages, orphaned databases and unclear structure.

The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.

[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.

Audit our Notion workspace. Description of top-level pages and teamspaces: [STRUCTURE]. Number of pages and databases, and examples of duplicates or confusion: [EXAMPLES]. Last edited dates where known: [DATES]. Who owns what: [OWNERS].

Open with the numbers and arithmetic: pages, databases, stale share, duplicates. Example: 420 pages, 130 with no edits in a year (31 percent), 38 duplicates. Check for duplicate databases, pages with no owner, stale pages, deeply nested pages, inconsistent naming, used databases without views, and unused templates; count each and give its share.

Propose a structure of at most five top-level areas (for example Company, Teams, Projects, Knowledge, Archive), map ten of my current pages to it, and give the owner of each area, a naming convention with examples, and an archive rule. Plan the work as one hour a week over four weeks: inventory, agree structure, move and merge, archive and announce. Moving or deleting pages can break links, relations and rollups and can change who can see them, so test on a copy and check permissions after each move [VERIFY].

Return a table with Area, Issue, Evidence, Action and Effort, and a message announcing the clean-up. Base findings on what I provided and mark guesses.
