Shipping Delay Message Ladder
Keep customers informed without causing panic.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
Write a set of messages for orders delayed by [DELAY_CAUSE]. Expected new timeline: [NEW_TIMELINE]. What I can offer: [COMPENSATION_OPTIONS]. Order sizes and customer types: [ORDER_DETAILS].
Produce a table with columns: Trigger, Channel, Message (full text with [CUSTOMER_NAME], [ORDER_NUMBER], [NEW_DATE]), and Goal. Include: the first proactive notice; an update when the situation changes; a reply to "where is my order?"; a reply to an angry customer; an offer to cancel with a refund; a message when the order finally ships; and an apology follow-up with the compensation if any.
Rules: lead with the fact and the new date; apologize once and specifically; do not blame carriers or staff by name; no vague promises ("soon"); keep messages under 90 words; never overpromise a date I did not provide. Add guidance for what to say when there is no new date yet.
Also write a short internal note for the support team with approved wording and limits on what they can offer.
Fill in before use
Optional: type your details and the prompt above updates. Nothing is saved or sent.
Replace each bracketed placeholder with your own details, then paste into Any AI or another assistant.
