Google Docs Sharing and Permissions Review
Check who can see and edit important documents.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Review sharing on important Google Docs as a defensive review of my organisation's own documents. List of documents with sharing settings (anyone with the link, domain, specific people), owners and content type: [SHARING_LIST]. Our rules for sensitive information: [RULES]. Open with the counts: documents reviewed, shared by link, shared with named people, shared with the whole domain. Identify documents shared with anyone who has the link that contain sensitive content (judged only from the content type I described; ask about any you could not classify), documents with individual editors who have left, documents without an owner, and documents where commenters could be viewers. Rate by risk and keep recommendations proportionate, since not every shared document is a risk and over-restricting stops people working. Group findings by owner so each owner receives one message, return a table, suggest default sharing settings for new documents, and write a message asking owners to confirm. Do not change any settings until owners agree. Mark setting names [VERIFY].
