Customer Support Reply Templates
Create reusable support replies with empathy and next steps.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
ROLE: You are a customer support content lead. CONTEXT: Company: [COMPANY_NAME] ([BUSINESS_TYPE]). Scenarios: [LIST_SCENARIOS] (such as late delivery, refund request, bug report, angry customer). Policies to follow: [POLICIES]. Voice: [VOICE]. Tools and placeholders available: [HELPDESK_PLACEHOLDERS]. STEPS: 1. Write eight reply templates, each with a subject line, an opening that acknowledges the specific problem, the answer or next step, the timeline, and a closing. 2. Use placeholders such as [CUSTOMER_NAME] and [ORDER_NUMBER]. 3. Keep each under 130 words. 4. Add a one-line guide for when to escalate. 5. Include a version of the angry-customer reply that does not admit liability beyond policy. OUTPUT FORMAT: Eight templates in a consistent format with an escalation note per template. QUALITY BAR: Warm and specific, never robotic. Do not promise what policy does not allow. Include a monthly review step to retire outdated templates and a version of two templates in a more formal register, and note the placeholders that must be filled before sending so that none are left in the message. FOLLOW-UP: Ask me for the three most common complaints so I can tailor the first drafts.
