Xero Tracking Categories Design for Reporting
Choose tracking categories that give useful reports without clutter.

Design tracking categories for Xero. Business activities, departments, locations or projects: [ACTIVITIES]. Reports I want (profit by project, by location): [REPORTS_WANTED]. Number of people entering transactions: [USERS]. Ask about missing information before designing. Simplicity beats precision; a category nobody uses correctly is worse than none. Propose up to two tracking categories with options (for example Department and Project) in a table, the naming rule, and which transactions must be tagged. Explain limits on categories and options [VERIFY for my plan], how reports use them, and what happens to untagged transactions. Worked example: revenue 9,000 for Project A with costs of 5,400 gives profit 3,600, 40 percent. Mention alternatives (separate accounts, an inventory item) and when they are better. Provide a staff coding guide with examples, a monthly check for untagged items, and a plan to introduce the categories without recoding history. Note questions for my accountant. This is bookkeeping education, not accounting, tax or legal advice; rules differ by place, so end with the questions a qualified professional should answer for my situation [VERIFY].
