Calendar Invite Quality Audit: Titles, Agendas, Links and Attendees
Check that your meeting invites tell people what they need to know.
The Open buttons send the prompt text as currently shown below to that site only when you click. Fill in the placeholders first.
[VERIFY] is an editorial flag, not a blank to fill. Wherever the prompt shows [VERIFY], check that item against a reliable source before you use it.
Audit the quality of the meeting invites I send or receive. A sample of 15 invites with title, attendees, length, description, location or link, and whether an agenda or documents were attached: [INVITE_SAMPLE]. Score each invite from 1 to 5 on a clear title (what and why), purpose or decision stated, agenda or pre-read, correct attendee list (required versus optional), appropriate length, joining details, and time zone clarity. Make a table and calculate the average score and the share of invites with an agenda, showing the arithmetic. Identify common problems (vague titles like 'Catch up', long default length, no purpose, too many required attendees). Provide a template for the invite description of under 80 words, five title patterns, and a rule for shortening meetings (25 and 50 minutes). Add a message to colleagues proposing better invites. Menu options in Outlook differ by version; mark exact steps [VERIFY]. Add a worked example of an invite rewrite: 'Catch up' becomes 'Decide Q3 launch date: 25 min', with a three-line description (purpose, pre-read link, decision needed) and attendees split into required and optional. Provide the average score calculation for 15 invites.
